2. Information We Collect

We collect information strictly necessary to provide our frontline operational intelligence services:

• Account & Identity Data: Name, work email address, company affiliation, user role, and assigned facility.
• Voice & Speech Streams: Transient audio captured by frontline personnel during work order dictations. Raw audio files are converted to text and deleted immediately following inference unless an organization explicitly configures audio retention for compliance audits.
• Visual Media: Equipment photographs, nameplate scans, and defect images uploaded by workers to accompany work orders.
• Enterprise Metadata: Asset IDs, inventory numbers, location tags, and timestamps required for ERP/CMMS record synchronization.

3. How We Use Information

• To transcribe frontline spoken communication into structured operational records.
• To query your private Organization Context Graph and resolve internal equipment and part codes.
• To dispatch authorized actions to your connected enterprise systems (SAP, ServiceNow, Microsoft Dynamics, UpKeep, etc.).
• To maintain an immutable, customer-accessible audit trail of operational changes.

4. AI Model Training Commitment

We do not use customer proprietary data, transcripts, documents, or photos to train general foundation models. All fine-tuning and retrieval-augmented generation (RAG) are strictly siloed within your organization's private cryptographic tenant.

5. Data Security & Encryption

All data in transit is encrypted using TLS 1.3. All data at rest is encrypted using AES-256. Access to production environments is governed by strict Role-Based Access Control (RBAC), multi-factor authentication, and principle of least privilege.
